The Simple Explanation

Carbon calculations begin with activity data.

Activity data describes what happened during your event. 

 

  • Mode of transport
  • Hotel stays
  • Meals and catering
  • Materials or event-related operations

What Is Included in the Event Boundary?

The boundary determines which activities and emission sources are included in the calculation. Green Passport Carbon focuses on material emission sources that can reasonably be associated with planning, operating and attending an event.

Depending on the information available and the type of event, the calculation may include the following major categories.

Attendee & Event Travel

Travel can represent a significant part of an event’s overall footprint.

Calculations may consider:

Air travel, Private vehicles, Taxis and ride-hailing, Buses and coaches, Rail or public transport, Travel distance and Number of travelers.

Where relevant data is available, different transport modes can be calculated separately to better reflect their different emissions profiles.

Accommodation

For multi-day events or events involving travelling attendees, accommodation can contribute to the overall footprint.

Calculations may consider:

  • Number of hotel stays
  • Number of nights
  • Number of guests or rooms
  • Applicable accommodation emission factors

Venue Energy & Operations

Events require energy for lighting, air conditioning, audiovisual equipment, staging and other operational needs.

Where suitable data is available, calculations may consider:

  • Electricity consumption
  • Event duration
  • Venue operating data
  • Temporary event infrastructure
  • Other relevant energy sources

 

Where actual consumption data is unavailable, appropriate assumptions or proxy data may be used and clearly identified.

Food & Catering

The environmental impact of catering can vary significantly depending on the type and quantity of food served.

  • Applicable food and catering emission factors

Event Materials & Other Activities

Depending on the event and available information, additional material emission sources may also be considered.

Not every category will apply to every event.

The calculation boundary should reflect the event being assessed and the quality of information reasonably available.

Applicable emission factors are assigned to the relevant activities.

Calculate

Activity data is multiplied by the relevant emission factors to estimate greenhouse gas emissions.

Consolidate

Emissions from the included categories are combined and expressed as the event's estimated carbon footprint in tCO₂e.

A calculator result should not automatically be interpreted as a final verified or certified footprint.

Where certification is required, event information and supporting data may undergo additional review before the final carbon quantity is confirmed.
