How to Measure the Carbon Footprint of a MICE Event in Singapore

The short answer

To measure a MICE event’s carbon footprint in Singapore, you define what counts as “your event,” collect activity data across seven or eight emission categories, multiply each by a documented emission factor, and report the result as a total in tonnes of CO2-equivalent plus a per-attendee figure. The formula is the same one used across the industry: Emissions = Activity Data × Emission Factor. The work is not conceptually difficult. What makes it feel difficult is knowing which categories matter, where to find defensible emission factors, and what to do when you do not have perfect data.

This guide walks through all three.

Why this is no longer optional in Singapore

Singapore’s MICE sector has moved past the stage where carbon measurement was a differentiator. The Singapore Tourism Board’s original MICE Sustainability Roadmap set targets for certification coverage and emissions tracking — and by 2025, those targets had been exceeded, with all purpose-built MICE venues and more than 80% of SACEOS member companies holding nationally or internationally recognised sustainability certification.

In July 2026, STB and SACEOS went further, unveiling Sustainability Roadmap 2.0, which commits to developing a formal MICE Decarbonisation Framework by 2028, alongside continued tracking of waste and carbon emissions on the path to net zero by 2050.

Read that sequence carefully, because the implication for organisers is specific: measurement is becoming the sector’s operating baseline, not its badge of distinction. The question a client or sponsor asks is shifting from “are you certified?” to “what was this event’s footprint, and can you show me?”

The commercial pressure is arriving from the demand side too. Corporate sponsors with their own ESG mandates increasingly expect post-event sustainability documentation that plugs into their reporting frameworks — and events that cannot produce it are at a growing disadvantage in sponsorship conversations.

The formula, and why it is worth understanding

Every credible event carbon calculation, from a free online estimator to an audited enterprise platform, rests on the same arithmetic:

Emissions (kgCO2e) = Activity Data × Emission Factor

  • Activity data is what actually happened. How many attendees. How far they travelled. How many kilowatt-hours the venue drew. How many meals were served. How many kilograms of waste left the building.
  • Emission factor is a published coefficient that converts that activity into estimated greenhouse gas impact, expressed in CO2-equivalent (CO2e) so that different gases can be summed on a common scale.

Two practical consequences follow from this, and most organisers miss both.

First, the quality of your result is capped by the quality of your activity data. No calculator, however sophisticated, can improve on the inputs it receives. This is why the single highest-leverage thing you can do is start collecting activity data before the event rather than reconstructing it afterward.

Second, which emission factor dataset you used, and from which year, is part of the answer. Emission factor libraries are revised periodically. A footprint quoted without reference to its factor source is not a reproducible number. Record it alongside the result.

Step 1: Define your system boundary

Before collecting anything, decide what is inside the fence. A standard MICE event boundary includes:

  • Attendee travel — international and domestic journeys to and from the event
  • Local transport — taxis, ride-hailing, shuttles, public transit during the event
  • Accommodation — hotel room-nights for overnight attendees
  • Venue energy — electricity, air-conditioning, lighting, audiovisual load
  • Catering — meals, beverages, food service
  • Waste — general waste, recycling, food waste
  • Freight and logistics — shipping of equipment, booth structures, materials
  • Printed materials and production — signage, banners, lanyards, collateral
 

Some organisers exclude categories they cannot influence or measure. That is acceptable practice provided the exclusion is disclosed. An undisclosed exclusion is the difference between an estimate and a misleading number. State your boundary in one sentence at the top of your report: “This assessment covers attendee travel, venue energy, catering, accommodation, waste and freight. It excludes exhibitor booth construction and staff commuting.”

That sentence costs you nothing and buys you considerable credibility.

Step 2: Collect activity data

This is the laborious step, and the one where most first attempts stall. Work category by category:

  • Attendees and duration — headcount, number of event days, hours per day
  • Travel — proportion of international versus domestic attendees, approximate origin regions, and where obtainable, flight class. Registration forms are the cheapest place to capture this: a single optional “city of departure” field transforms your travel estimate from guesswork into data.
  • Venue energy — actual kWh consumption is ideal. Some Singapore venues can provide sub-metered floor-level data; Marina Bay Sands, for instance, has installed sub-metering that allows organisers to track energy usage across specific areas. Where metered data is unavailable, venue area and operating hours can be used with an area-based factor.
  • Catering — number of meals by broad type (standard, vegetarian, plant-based). Meal composition matters more than meal count.
  • Accommodation — total room-nights
  • Local transport — rough modal split
  • Waste — quantities by stream, usually obtainable from the venue or waste contractor
  • Freight — weights and distances for inbound and outbound logistics
 

On imperfect data: a first assessment built partly on reasonable assumptions is legitimate and normal. What matters is that estimates are flagged as estimates. A good calculator or provider will distinguish measured inputs from assumed ones in the output. If a provider hands you a single confident number with no indication of which parts were assumed, treat that as a warning sign rather than a convenience.

Step 3: Apply documented emission factors

Once activity data is assembled, each category is multiplied by its relevant factor. Credible, widely used sources include:

  • UK DEFRA / DESNZ Greenhouse Gas Conversion Factors — revised annually, used internationally across sectors
  • ICAO methodology for aviation emissions
  • IFI Harmonized Default Grid Emission Factors for electricity, adjusted to Singapore’s grid mix
 

A note on the state of the art: enterprise platforms operating in this market have built emission factor libraries running to hundreds of thousands of entries hyper-localised to Asia-Pacific countries and validated against ISO 14064. You do not need that depth for a credible event estimate — but you should know it exists, because it explains why two calculators can return different numbers for the same event. Granularity of the factor library is one of the main reasons for divergence. The other is boundary definition.

Neither divergence is a scandal. It is why methodology disclosure matters more than the headline figure.

Step 4: Interpret the result properly

A complete output has three components, not one:

  1. Total footprint in tCO2e
  2. Per-attendee figure in kgCO2e — this is what makes your event comparable year over year and against sector reference points
  3. Category breakdown showing where the emissions concentrate
 

For most MICE events, attendee travel and venue energy dominate, often exceeding waste and printed materials combined by a wide margin. This distribution is the most actionable insight in the whole exercise. Reduction effort spent on eliminating printed programmes while ignoring venue selection or attendance format is effort spent on the visible rather than the material.

Use the breakdown to direct next year’s decisions. That is the entire point of measuring.

What measurement does not give you

Measurement produces a number. It does not, by itself, produce a claim. If you intend to state publicly that an event was “carbon neutral,” that is a separate exercise with its own recognised methodology — measure, reduce, offset only what genuinely remains, then verify independently. A well-built calculator produces a defensible estimate, not an audited inventory. Accuracy depends almost entirely on input quality and boundary definition rather than on the tool itself. Treat the output as a planning and reporting baseline, and expect that a formal certification or verification process will require documented inputs and review.

Before the event, not after. Reconstructing activity data retrospectively is the single largest source of estimation error and wasted effort. Adding two fields to your registration form and one line to your venue contract will improve your footprint accuracy more than any change of calculator.
